Sending email from a mail merge

Easy Mail Merge can do both, so the first part of this tutorial will deal with the first, easier option, while the second one will provide instructions so that each contact gets his or hers personalized mail merge attachment – neither of them will take up much time, anyway. So, I was recruiting research participants for a study and realized that I wanted to send them reminder messages to tell them to come to the lab for the days/times they signed up. However, I didn't want to write a bunch of emails by hand. I went back to my old friends - Word and Excel to do an email mail merge. I wanted the messages to go out on the day of the scheduled appointment - at something like 6:00 AM, but I'm usually sleeping then - so I thought Outlook could help me with that. Uh.. well.. kinda.

Here are the steps for the email merge

  • Next you need to select the recipients of your email merge. These names could come from any number or sources maybe an Excel 2010 spreadsheet or your Outlook 2010 Contacts. To do that, click on the “Select Recipients” box in the “Start Mail Merge” group. Either find your data source, your outlook contacts, or create a new list.
  • Run the mail merge from Outlook Format the merged data Step 6: Preview and print the labels. Preview the mail merge Complete the mail merge Step 7: Save the labels for future use. Step 1: Prepare the worksheet data in Excel for the mail merge. In Excel, your address list must match the tabular structure that mail merge requires.

So, I was able to get Word and Excel to fire off an email to my list of people, but couldn't get it to delay the sending of the email. My work-aroud? I set up an outgoing email rule to delay the sending of the email. The rub is that it would only delay the email by a number of minutes, as long as that number of minutes was less than 120.
